Terms and conditions

1. The prize draw is only open to the following:

a. A registered charity; or

b. A community group operating within the Affinity Water Limited (AWL) Region. You can check whether your organisation operates within the AWL Region here.

2. The proposed site for the Water Saving Garden must be located within the AWL Region. You can check that you have a site in this region here.

3. Entry to the prize draw is free and no purchase is necessary.

4. Entries are limited to one entry per registered charity or community group.

5. The competition period starts on 13th May 2024 at 4pm and closes 1st July 2024 at 4pm. Entries received after this time will not be counted.

6. In order to be entered for the competition the entrant must have completed and submitted the Entry Form, which can be found here.

7. Entries are automatic when the entrant completes and submits the Entry Form.

8. AWL accepts no responsibility for entries not successfully completed due to a technical fault of any kind or for any other reason.

9. Entries will be judged in an initial three-stage process by representatives of AWL (the Judging Panel) as follows:

a. First Stage: Pre-qualifying Criteria (as provided in Appendix A) will be judged in accordance with the Scoring Matrix (as provided in Appendix B) based upon the yes or no answers provided in the Entry Form. The Judging Panel reserve the right to review the answers in the context of any imagery / video content provided as part of the entry by the Applicant. Only entries that meet all the pre-qualifying criteria will be put through to the next stage.

b. Second Stage: Detailed Qualifying Criteria (as provided in Appendix B) will be judged in accordance with the Scoring Matrix (as provided in Appendix B) on the basis of the detailed answers provided in the Entry Form. The Judging Panel will decide upon a maximum shortlist of three entries which will be announced by the 10th of July 2024.

c. Third Stage: the Judging Panel will reconvene to select an overall winner based upon the Entry Form and any recommendations given by AWL’s Installation Team following the Technical Review. The Third Stage will take place between 22nd July and 26th July 2024.

10. At the end of the Second Stage, AWL will contact shortlisted entries between the 01st July and 05th July 2024 to confirm if the entrant would like to continue with the process and to arrange a visit to the Proposed Site by AWL’s Installation Team to review the Proposed Site's suitability for the garden further to the information provided via the Entry Form. This is the Technical Review, and the recommendation of AWL’s Installation Team will form part of the final decision made by the Judging Panel. The site visits must take place between the 12th and 19th of July 2024.

11. Entrants understand that, should they be shortlisted, representatives of AWL’s Installation Team will contact them to arrange a site-visit.

12. Entrants understand that by entering the competition, they provide AWL permission to publicly announce and share the shortlisted entries and winner on mediums including, but not limited to AWL’s; website, email and social media such as Instagram. Entrants may also be contacted by representatives of AWL about further promotion.

13. The winner will be announced by 26th July 2024 (Final Selection Date). The decision of the Judging Panel is final.

14. The winner will receive the Water Saving Garden, designed by Chiltern Garden Design and displayed at the RHS Chelsea Flower Show 2024. This includes the containers, water butts, all the water reservoirs within the containers, the water feature, the decking and gravel surfacing, and the furniture. The following items are on loan for the show only and are excluded from the prize: sculpture, lighting and set dressing.

15. The winner will be notified by email, sent within 7 days of the Final Selection Date to the same email address that the original invitation to participate was sent to. If a winner does not respond to AWL within 7 days of being notified by AWL, then the winner's prize will be forfeited, and AWL will be entitled to select another winner in accordance with the process described above.

16. Within 14 days of being notified of their win, the winner will be contacted by the Installation Team to arrange timings for the garden’s installation. It is the responsibility of the winner to provide AWL with their contact details and address in order to receive their prize. The Installation Team will install the garden by the end of September 2024 at the latest.

17. The prize for the winner is non-exchangeable and non-transferable and no cash alternative is offered.

18. The decision of AWL regarding any aspect of the prize draw is final and binding and no correspondence will be entered into about it.

19. In compliance with legal obligations, AWL will make available information that indicates that a valid award took place upon request. To comply with this obligation AWL will send the name of the entrant’s organisation and the first part of their postcode i.e. AL10 to anyone who emails watersavings@affinitywater.co.uk or writes to: Water Savings Prize Draw, Affinity Water Limited, Tamblin Way, Hatfield, AL10 9EZ (enclosing a self-addressed envelope) within 1 (one) month of the prize draw.

20. Entrants are deemed to have accepted and agreed to be bound by these Terms and Conditions upon entry. AWL reserves the right to refuse entry or refuse to award the prize to anyone in breach of these terms and conditions.

21. AWL reserves the right to hold void, cancel, suspend, or amend the promotion where it becomes necessary to do so.

22. Insofar as is permitted by law, AWL, its agents or distributors will not in any circumstances be responsible or liable to compensate the winner or accept any liability for any costs, loss, damage, personal injury, or death occurring as a result of taking up the prize except where it is caused by the negligence of AWL, its agents or distributors or that of their employees. Your statutory rights are not affected.

23. AWL is not liable for any post-installation damages, maintenance, repair or upkeep of any features, parts or mechanisms of the water garden. The winner accepts full financial and physical ongoing responsibility for the water garden and all of its features.

24. Personal data collected during the course of this promotion will only be processed as set out in AWL’s Privacy Notice (https://www.affinitywater.co.uk/privacy). See also condition 12 with regard to the announcement of the shortlist and winner.

25. The prize draw will be governed by English law and entrants to the prize draw submit to the jurisdiction of the English courts.

26. This competition is managed by Affinity Water Limited of Tamblin Way, Hatfield, AL10 9EZ.

Appendix A: Competition criteria

Pre-qualifying criteria

Pre-qualifying criteria will be judged on a clear yes or no basis. Entrants are asked to submit whether they believe their proposed site meets the criteria set out in the table. The judging panel / installation team shall reserve the right to review these answers in the context of imagery / video content provided as part of the application by the entrant. To be eligible for entry, the entrant must meet all the pre-qualifying criteria.

  • a set of interlinked containers
  • bamboo decking and gravel surfacing
  • a water feature.

No roof terraces shall be considered.
   
III Does the proposed site have a wall to which water butts can be attached, or alternatively is there space so these can be free standing on the ground if necessary?    
IV Does the proposed site have permission to allow the site’s rainwater downpipes or guttering to be redirected into the water butts (for the purpose of collecting rainwater to water the plants within the garden space)?    
V Does the proposed site have a minimum of 95cm wide step-free access?    
VI Is it possible to facilitate an electrical outdoor connection at the proposed site?    

Detailed qualifying criteria

Detailed qualifying criteria will be judged using the Scoring Matrix (provided in Appendix B) based upon the answers and any evidence provided. Entrants are asked to answer the following questions (maximum 100 words each) and upload photographs (up to x5) or alternatively upload a video showing the proposed site:

Appendix B: Scoring Matrix.

Pre-Qualifying Criteria: only entries which provide a yes answer to every criteria question will pass the pre-qualifying criteria and move onto the Detailed Qualifying Criteria.

Detailed Qualifying Criteria: entrants must meet a minimum of ‘Satisfactory’ across all the Detailed Qualifying Criteria in order to be shortlisted.

The Judging Panel will score each question provided in the Entry Form, along with the evidence provided, using the Point Scoring Matrix set out below. The Judging Panel will refer to the Point Scoring Matrix when making the winning decision. The Judging Panel reserves the right to review or change scores based on recommendations of the Installation Team and any additional information provided throughout the process.

Unsatisfactory 1 Although the entrant does demonstrate an understanding of our requirements, there are some major risks, omissions or incompatibilities in relation to the proposed space and we would not be confident of our requirements being met.
Satisfactory 2 A response which is capable of meeting our requirements.
Good 3 A response that shows that the entrant demonstrates an understanding of our requirements, exceeds these requirements, and that the proposed space would deliver additional benefits and value to the community.
